The short version

What we collect
Your name, email, phone, resume, work history and skills, plus basic usage data (§1).
Who sees it
Only the employer you apply to, and only once you apply. We never sell your data (§3).

The moment you submit an application — not before, and not to anyone you haven’t applied to (§3).
AI features
Resume reading, Ask AiRA, practice interviews and the resume check send data to OpenAI’s API, which does not train on it. Chat is kept 180 days, practice answers one year (§4).
Get your data
Export it anytime from My profile → Settings → Download my data. Delete your account yourself from My profile → Settings → Delete account, or email privacy@airacareers.ai from your account email (§6).

The full policy below is what governs — this box is a plain-language summary of it.

1. Information We Collect

When you create an account, we collect your name, email address, phone number, and professional information such as your resume, work history, and skills.

If you message a recruiter through the platform, we also collect the content of those messages and any files you attach to them.

We also automatically collect usage data including pages visited, features used, device type, and IP address to improve the service.

2. How We Use Your Information

Your information is used to: match you with relevant job opportunities, provide real-time application status updates, and improve our matching algorithms. We never sell your personal data to third parties.

3. Data Sharing

Your resume and profile information is shared with employers only when you actively apply to their job postings. Employers cannot browse candidate profiles without a matching application. Messages and any attachments you send to a recruiter through the platform are shared with that recruiter as part of the same application. We use AWS infrastructure for secure data storage and processing.

AiRA Careers is TheHireHub's candidate-facing job board. Once you apply to a job, your application — including your resume, profile details, and any messages with that employer — is also held in TheHireHub's systems, which are the system of record for the hiring process itself.

On our public pages (the job board and company pages) we use Google Analytics to count visits and measure page speed. It sets cookies and receives the page address, your browser and device type and an approximate location. It is not loaded in your signed-in account area, and it never receives your name, email, resume or applications.

4. AI Processing

AiRA Careers uses OpenAI's API for its AI features. Here is what each one sends:

  • Resume upload. The resume's text is sent to read out your details and pre-fill your profile and application forms. You review everything before it is saved.
  • Ask AiRA. Your question, your profile, your applications and the recruiter messages it needs are sent to answer it.
  • Practice interviews. Your answers are sent to be interpreted and scored. Spoken answers are transcribed by OpenAI; the audio is not stored.
  • Resume check. Your resume is sent with your name, contact details and address removed.

OpenAI does not use this data to train its models. AI suggests jobs that may fit you; it never decides on your application for an employer. You retain full ownership of your resume content.

We keep AiRA chat history for 180 days and practice interview answers for one year (your scores and feedback stay). Resume checks are kept until you delete them or your account.

Authorised AiRA support staff may review Ask AiRA conversations to help with a support request and to improve AiRA's answers. Every such access is logged.

5. Data Security

We implement industry-standard security measures including encryption in transit and at rest, secure authentication, and regular security audits. Resume files and message attachments are stored in encrypted S3 buckets, hosted on AWS in the ap-south-1 (Mumbai) region, with access-controlled pre-signed URLs.

6. Your Rights

You can export a complete copy of your data at any time from My profile → Settings → Download my data. You can delete your account yourself from My profile → Settings → Delete account (we confirm it with a code sent to your email), or email us at privacy@airacareers.ai from your account's email address. We'll remove your AiRA Careers account, profile, uploaded files and messages. Records you created with TheHireHub through your job applications — for example, your application history with an employer you applied to — are the system of record at TheHireHub and are handled there.
