About the Role

This role owns the administrative and coordination backbone for senior leadership, making sure commitments are organized, tracked, and executed without gaps. The Executive Assistant will work through calendar discipline, travel planning, meeting preparation, correspondence management, and follow-up systems that keep priorities visible and moving. The position is ideal for someone who can balance discretion with responsiveness, anticipate needs before they become issues, and maintain calm execution in a fast-moving setting. The impact of the role is measured by how well leadership time is protected, how reliably commitments are delivered, and how smoothly cross-functional communication flows.

Key Responsibilities

  • Own calendar management for senior leaders, resolving conflicts, protecting priority time, and ensuring schedules reflect the most important business commitments with minimal disruption.
  • Coordinate meetings end to end, including agendas, material preparation, attendee follow-up, and action tracking so decisions translate into visible progress.
  • Manage travel, logistics, and event coordination with attention to timing, cost control, and contingency planning that reduces avoidable delays or escalations.
  • Draft, review, and route correspondence, presentations, and internal communications so leadership messages are clear, timely, and consistent across stakeholders.
  • Maintain confidential information, records, and documentation systems that support accurate retrieval, compliance, and trusted handling of sensitive matters.
  • Track open action items across teams, following up persistently and diplomatically so commitments are closed on time and nothing important is lost.
  • Support special projects and ad hoc leadership requirements by organizing information, coordinating contributors, and driving outcomes through structured follow-through.

Essential Skills & Technologies

  • Strong executive support and calendar management capability, with the discipline to manage shifting priorities while keeping leadership focused on the right decisions.
  • Excellent written and verbal communication skills, enabling clear correspondence, precise coordination, and professional handling of internal and external stakeholders.
  • High proficiency with productivity tools such as Outlook, calendar systems, spreadsheets, presentations, and document workflows to keep work organized and searchable.
  • Strong attention to detail and judgment, especially when managing confidential information, time-sensitive requests, and multi-step follow-ups.
  • Proven ability to coordinate across functions, influence through service and clarity, and keep multiple workstreams moving without constant supervision.

Additional Plus

  • Prior experience supporting senior executives in healthcare, technology, or similarly fast-paced environments where discretion and responsiveness are critical.
  • Exposure to board, investor, or leadership meeting preparation, where accuracy, structure, and polished presentation standards matter.
